Service Coordinator

-Drums, PA

Job Description

Highway Equipment & Supply Co., a full-service heavy construction equipment dealership, is seeking a customer-oriented Service Coordinator for its Drums, PA, branch.

Summary/Objective

The Service Coordinator handles and coordinates customer calls including technical questions from customers, scheduling service work, processing work orders, proactively updating customers on the status of their equipment, and assigning customer work to technicians.

Required Education and Experience

The following requirements are job-related and consistent with business necessity.

  • High school diploma or GED

  • Class C driver’s license with a clean driving record

  • Proficient with general computer and Microsoft systems and applications, including Word, Excel, and Outlook

Additional Eligibility Requirements

Upon offer of employment, selected candidates:

  • Must pass a pre-employment drug test and physical examination at Highway’s expense to determine if the candidate is physically fit to perform the duties without injuring themselves or others

  • Will undergo a background check that will include information from various federal, state, or other agencies which maintain records concerning past activities related to driving, credit, civil actions, worker’s compensation, and criminal records

Essential Functions

  • Processing work orders and maintaining records

  • Resolving all open repair issues to conclusion for customers, technicians, and/or suppliers

  • Coordinating cooperation and interaction with parts and service personnel

  • Opening shop jobs

  • Obtaining best sublet vendor pricing for all outside parts/labor

  • Maintaining daily times from the technicians

  • Following up on back-ordered parts

  • Initiating and providing a timely response to customer requests before, during, and after job completion

  • Check work order time cards for correct coding, reconcile to work orders, and adjust as needed

  • Reconcile payroll system time cards to work order time cards and prepare for manager approval in time for payroll processing

  • Perform all other duties as assigned by management in a professional and efficient manner.

 

Competencies

  • Proficient with general computer and Microsoft systems and applications, including Word, Excel, and Outlook

  • Delivers customer-oriented service

  • Knowledge and experience in the heavy-equipment industry preferred

  • Demonstrates time management and high-level organizational skills and attention to detail

  • Excellent communication skills

  • Must possess a positive personality and interpersonal skills

  • Must be a proactive self-starter with the ability to multi-task

 

Supervisory Responsibilities

This position has no supervisory responsibilities.

 

Position Type/Expected Hours of Work

This is an hourly overtime-eligible position. The Service Coordinator is expected to work Monday through Friday, 7 a.m. to 3:30 p.m. with a 30-minute unpaid lunch. Overtime may be required, but is not guaranteed, and requires manager’s approval.

 

Reports To

This position reports to the Service Manager.
